A useful fence supplier quote identifies the exact product, quantity and selling unit, delivered cost, and a dated availability commitment. A per-piece price without those fields is not a complete purchasing comparison. Download our original RFQ and receiving worksheets below; no email or account is required.

This is a contractor purchasing tool. The homeowner bid worksheet compares installed project scope; this RFQ compares material orders. Neither template supplies an engineering design, surveyed market price or contract terms.

Send the same written specification to each supplier. Give every requested item a line number that remains stable through the quote, purchase order and delivery record. A substituted SKU should stay visible rather than silently replacing the requested product.

The CSV includes a blank supplier-response column. An empty answer means unconfirmed, not included, free, available or compliant. Keep the completed response with the actual written quotation.

Define the product before comparing price

Nominal lumber size is not measured picket width. Use the picket count chart after checking the product and layout; it excludes gates, posts, rails and other components. Keep a chosen extra allowance visible rather than presenting it as an industry waste statistic.

For chain-link fabric, write core wire diameter, mesh, height, coating, roll length and selvage. A polymer-coated outside diameter cannot quietly stand in for core wire gauge. The chain-link specification reference separates these fields.

For proprietary panels, write the system, profile, color and compatible posts/reinforcement, brackets and gate hardware. Check whether a quote is a complete assembly or only panel infill. Compare landed material cost, not the lowest unit price

Use a consistent scope: extended line-item prices + packaging/minimum-order effects + freight + disclosed unloading/delivery charges + applicable tax and other confirmed charges. Apply an explicitly stated discount according to the written quote. Unknown charges stay unknown; do not assign zero to make a total look complete.

Illustrative arithmetic, not a collected supplier quote: 200 pieces at $4.00 each gives $800 in merchandise. Adding a hypothetical $150 freight charge produces $950 before any other charges. A second hypothetical quote of $4.50 per piece with $25 freight gives $925 on that same limited basis. The higher unit price is not automatically the higher delivered total.

Do not compare a taxed quote with an untaxed quote, pickup with delivered pricing, different grades, or a different count of usable pieces without reconciling the differences. Transfer confirmed purchasing costs into the job-costing worksheet; the material quote alone is not an installed-project price.

An estimated lead time is not reserved inventory

Ask when availability was checked and whether stock has actually been allocated to the order. Record which line controls delivery, whether partial shipments are allowed, and who approves substitutions. Distinguish an estimate, a written commitment, and a contractual remedy; this worksheet does not create a remedy by itself.

Supplier location also matters. A product listed in a national catalog may not be stocked at your branch. Confirm pickup/delivery location, hours, unloading responsibility, required equipment and access before scheduling the crew. We do not maintain a live inventory feed or claim that our directory entries guarantee current stock.

Receiving and change-control checklist

  • Reconcile delivered line numbers, SKUs, quantities and selling units against the accepted order.
  • Record visible damage, shortages, wrong finishes and substitutions using the supplier's reporting process.
  • Keep delivery tickets, packaging identifiers and photos with the project record.
  • Confirm compatible replacement parts before installing a substituted system component.
  • Check return restrictions, restocking charges and custom-order exclusions before authorizing an excess order.
  • Preserve the applicable warranty, proof of purchase and required registration information.
  • Update the actual cost record when freight, returns or replacement orders change the total.

The separate receiving CSV provides fields for evidence, responsible person and resolution. It is not a product inspection standard; use approved project documents and manufacturer instructions for acceptance.

Find suppliers and keep the scope comparable

Use the fence supplier directory to build a shortlist, then request a current written response. For installed work, use the contractor directory and the homeowner bid worksheet instead. A material RFQ cannot replace a complete installation proposal.

What does a fence material RFQ need to include?

At minimum, identify the exact product, quantity and selling unit, dimensions/packaging, destination, requested delivery timing and response fields for price, stock, freight and conditions. Confirm all missing charges before comparing totals.

Is this the same as comparing installation bids?

No. This worksheet compares supplier material orders. Our separate buyer checklist compares installed scope, including labor, gates, removal, permits and workmanship terms.

Are the templates free to download?

Yes. The CSVs and printable graphic are ungated. They are blank original worksheets, not live supplier quotes or a contract.
